Privacy Policy

1. Information we collect

• · Account information: your name and email address when you register or sign in.
• · Claim details you enter: loss description, dates, property state and ZIP code, claim status, and amounts.
• · Documents and photos you upload: policy PDFs, estimates, letters, and damage photographs, stored with their original file names.
• · Payment information: processed entirely by Stripe. ClaimsIntake.ai never receives or stores your full card number or bank details.

2. How we use your information

We use your information only to operate the service for you: to build your claim file, run the AI analysis that produces your policy summary and claim report, keep your documents organized and retrievable, send you service notifications, secure the platform, and comply with the law.

3. AI processing

Your documents are processed by artificial intelligence to extract policy facts (such as deductibles and deadlines), build your loss chronology, and identify gaps in your file. Known sensitive identifiers are automatically redacted from the text before processing.

AI output is a starting point for your own review — not a coverage determination. We do not use your claim documents to train general-purpose models.

4. Document security

Your uploaded originals are stored in private storage, not a public folder. Every original is preserved unmodified with a tamper-evident hash so you can show the file has not been altered. Only you (and, where needed to provide support, our administrators) can access your files.

5. Claim escalation — only with your explicit consent

ClaimsIntake.ai includes an optional feature that can share an anonymized summary of your claim with verified, licensed professionals (such as public adjusters) in your area. This never happens automatically:

• · Nothing is shared until you explicitly opt in after reading the exact consent language.
• · Before you opt in, professionals see only blind, anonymized claim data — never your name, address, or contact information.
• · Your contact details are released to a specific professional only if you personally accept that professional’s request.
• · You can withdraw consent or revoke access at any time, and future sharing stops immediately.
• · Opting in is always optional and never required to use any part of ClaimsIntake.ai, free or paid.

6. Sharing with others

We do not sell your data, period. We share information only with the service providers that make the product work — payment processing (Stripe), hosting, and email delivery — each bound to use it only on our instructions, and with licensed professionals strictly as described above when you consent. We may also disclose information when required by law or to protect rights and safety.

7. Retention and deletion

We keep your claim information and documents while your account and claims are active. You can delete a claim — and with it its documents and reports — at any time from the claim page, and you can delete your data by contacting support through the app. Deletion removes the claim file from your active records.

8. Your choices

• · Review and delete your claims at any time, in the app.
• · Decline claim escalation entirely — the feature is opt-in and off by default.
• · Opt out of marketing communications at any time; service notifications still reach you.

9. Children

ClaimsIntake.ai is intended for adults 18 and older and is not directed at children. We do not knowingly collect information from children.

10. Changes and contact
